A cloud should make work easier, not create a second copy of data and another set of accounts. Integration with current storage, clear file ownership, secure external sharing and the ability to restore an older or accidentally deleted version are therefore essential.

Data rules first, application second

Before deployment, it is useful to decide which data should be available remotely, who may share it and how long versions should be retained. This determines storage, authentication, backup and external access design.

The platform can run independently or use existing data and accounts. The important point is that users do not have to maintain several separate copies of the same content.

Outcome

Users gain convenient access and sharing, while administrators retain control over accounts, permissions and data. Documents remain part of a managed environment that can be backed up and recovered.
